Why Do Emails Go to Spam?
Mail servers like Gmail and Outlook analyze each message before delivery. If they detect spam signals, they redirect it to that folder. The most common causes are:
- SPF, DKIM, or DMARC not configured
- Server IP on blacklists
- Email content with spam keywords
- History of mass mailings or high bounce rates
Solution 1 — Configure SPF, DKIM, and DMARC
This is the most important step. Refer to the article Configure SPF, DKIM, and DMARC and apply it.
Solution 2 — Check if Your IP is on Blacklists
Go to MXToolbox Blacklist Check, enter your server's IP, and check if it appears on any blacklist. If it does, open a support ticket so our team can manage the removal.
Solution 3 — Review Your Email Content
Avoid in your emails:
- Words like: FREE, EXCLUSIVE OFFER, CLICK HERE, $$
- All text in CAPITAL LETTERS
- Many exclamation marks !!!
- Images without alt text
- Shortened links (bit.ly, tinyurl)
Solution 4 — Ask the Recipient to Mark as "Not Spam"
If it's a specific client or contact, ask them to look for your email in spam, open it, and click on "Not spam" or "Move to inbox". This trains their filter to recognize you.
Solution 5 — Use Mail-Tester for Diagnosis
Go to mail-tester.com, copy the address they provide, and send them a test email. You will get a detailed score showing exactly what is failing.
